What’s a ‘Delivery Rule’?

A ‘Delivery Rule’ is one or more destinations that share the same delivery methods and prices. Shipping costs are calculated automatically for the buyer when you have a ‘Delivery Rule’ set up with a ‘Delivery Method’ listed. Sellers can manage the ‘Delivery Rules’ from the ‘Settings’ page. This page can be accessed by selecting ‘Settings’ from the top right of their ‘Profile’ page. After that, select ‘Delivery Rules’ on the screen. After you set your ‘Delivery Rules’, buyers will see the cost of shipping to their destination displayed in ‘Cart Check Out’ page. When a buyer adds an item to their cart, your ‘Delivery Rules’ is used to calculate the cost of adding additional items to the cart, and a recommendation may be made to the buyer to add additional items to save on shipping. If you have a PayPal address in your seller settings, buyers will have the option to pay for their order immediately after completing the checkout process. #vinyloftheday ‘Marketplace’ currently only allow to set ‘Delivery Rules’ based on the estimated kilograms of each item. However, we will be looking to add other methods in near future.

Here is an example of a ‘Delivery Rules’ based on weight: Fill in the weight ranges you want buyers to be automatically invoiced for, then fill in the price for each range. For orders with multiple items, the shipping total will be based on the total weight of all of the items in the order.

Example: For an order consisting of:

  • One LP (230 grams)
  • One 7″ Vinyl (60 grams)

Given this delivery method:

delivery rules #vinyloftheday

The buyer will be automatically invoiced $9.00 for “Local” shipping or $15 for “International” shipping, since the total weight is 290, which falls between the 1-300 grams weight range. Sellers can also set ‘Free Shipping’ or ‘Meet Up’. However, be aware that ‘Meet Up’ is not covered in our Terms Of Service. If something goes wrong we might need to ask you to prove that the item was delivered or collected, and this is not easy when you meet face to face. For this reason, we always recommend that you ship – or ask to ship – the item in order to avoid any issue.

To help you with the task, we’ve put together a list of tips for a top notch shipping experience.

  1. Prepare the package and ship the item as soon as possible. Make sure this is done within a few days. To make sure your items arrive in one clean piece, pack your items well with bubble wrap and/or tissue paper. Including a handwritten thank you note, stickers, candy, business card, and other personal touches is also a nice way to show your buyer that you appreciate their business and inspires them to shop with you again.
  2. Follow up with the buyer on shipping details. Clear communication in all of your interactions with the buyer is key to getting a great review.
  3. Ship using a tracked or signed for delivery method. We recommend you use tracked or signed for shipping whenever possible for peace of mind on both sides of the transaction. This is also required in order to be eligible for Seller Protection. Tracking numbers aren’t always free, so remember to take that price into consideration when setting shipping prices. You can schedule a pickup with your shipping provider, or bring the item to your nearest post office or store.
  4. Only send the item to the address shown in your “Order” list to be protected by Seller Protection. If the buyer asks you to ship to another address, tell them you will have to refund them, ask them to update their address and then buy the item again. If the address isn’t visible, it may be because the buyer picked the option ‘Meet Up’. Be aware that this option is not covered by Seller Protection.
  5. Keep your proof of postage. This way, if something goes wrong with the transaction you will be able to prove the item was sent. Keep in mind that, in order to be valid, your proof of postage needs to contain the buyer’s address and date of shipping.
  6. Follow up. Make sure that the buyer has received the item and that they’re happy with it. It’s a nice thing to do, plus it gives you peace of mind that your shipping efforts were worth it. Here is a list of services that offer tracked shipping:

Seller Protection ensures that your sale is covered in case of problems, such as:

  • Item not arrived. The buyer reports not receiving the item you shipped
  • Item not as described. The buyer reports receiving an item that is different from what you described
  • The buyer claims their money back after receiving the item you sent (chargeback)

Requirements In order to be covered by Seller Protection, you must:

  • sell your items inside the app through ‘#vinyloftheday PayPal Payments’
  • sell items that are not prohibited by our Prohibited Items List
  • ship the item to the address included in the sale receipt located in ‘Inbox’ > ‘Selling’
  • obtain and keep proof of shipping and delivery, i.e. a tracking code that can be verified online. This is the only proof accepted by PayPal.
  • keep proof of shipping and delivery until the buyer confirms in writing that the item has been received.

Seller Protection applies only if all of the conditions above are met. All sales made outside of #vinyloftheday are against our Terms of Service and are not covered by Seller Protection. Also, prohibited items, non-material goods and ‘Meet Up’ transactions are not covered by Seller Protection.

How it works

If the buyer opens a dispute because the item never arrived or is not as described, we will contact you to inform you of this and the next steps to take. Please make sure that the e-mail address you’ve added to your ‘Profile’ is updated and correct as we will contact you there. Should we not hear from you, we might decide to close the dispute in the buyer’s favour. We might handle the dispute internally or ask PayPal to do so. Either way, #vinyloftheday will help you in any way we can and provide you with the support and information you need. We might ask you to provide proof of shipping and delivery (tracking code), or evidence that the item you sold was correctly described. Fail to provide the above might result in the dispute being closed in the buyer’s favour.
How to open a dispute Open the app and go to ‘Profile’ > ‘Settings’ > ‘Report a Problem’ and report your issues with the ‘Order #’.
